“Let's use AI” is not a goal. The goal is to do a particular job faster, more consistently or at lower cost. If that job is not clear, it hardly matters which model is chosen.
Know where your data goes
Text and documents sent to an AI service can leave the organisation. Which data may be shared, where it is processed and how long it is kept should all be settled before use begins.
Have a person check the results
Models give fluent, confident answers, and those answers can be wrong. The bigger the effect of a result, the more human review it needs, and responsibility for the decision should stay with a person.
